Description:

The Athabasca Chipewyan First Nation (ACFN) is seeking to fill one (1) full-time, permanent position of Events Manager. This position consists of 5 days on, 2 days off; Monday to Friday, 7.5-hour days, and 37.5 hours per week. However, schedule, hours and work location may change from time to time to meet operational requirements. Reporting to the CEO or designate, the Events Manager is responsible to plan, implement, and execute the overall management of ACFN’s various corporate, social and cultural events and may assist with other departmental events as required. This position requires a high attention to detail, project management, and effective communication skills.

This is a local position to Fort McMurray, AB., or Fort Chipewyan, AB., and candidates must have their own accommodations and transportation. Please note COVID-19 workplace protocols and guidelines are in-force in the workplace, and there may be a requirement to work remotely from home, if necessary.

Duties & Responsibilities

• Plans and executes all of ACFN’s local and corporate events, including vendor management,
sponsor management, promotions, and staffing/sourcing various roles.
• Ensures effective and cost-efficient management of events, including the planning and tracking of
budgets across various internal teams.
• Conduct pre- and post-event planning meetings with key stakeholders to identify event objectives,
messaging and communications/marketing strategy.
• Prepares and presents post-event reports including KPIs, and budget expenditures.
• Negotiate contracts with vendors and venues, as required.
• Liaise with internal departments; finance, communications, guest speakers, graphic designers etc.,
to ensure all events are within budget and scope.
• Prepare a work-plan and budget for each event; including an event poster and agenda.
• Manage orders, merchandise and apparel for all events and event-related activities.
• Conduct site inspections and manage events onsite and/or virtual, as needed.
• Evaluate and improve processes with a focus on efficiency, cultural and appropriate content/
activities.
• Participates on committees, teams and task groups working towards the alleviation or resolution of
social problems and issues.
• Create and manage all the event execution.
• Develops events, plans and works closely with internal and external stakeholders.
• Selecting and organizing multiple vendors, including but not limited to equipment, travel, food,
catering, and all other related supplies are sourced and procured.
• Collaborates with internal and external subject matter experts to create on-line, virtual and inperson
events, including small and large scale events.
• Ensure accounting procedures are followed, including invoices, expenses, etc.
• Works closely with the CEO to prioritize and coordinate the planning and strategic events issues.
• Supports the development of events best practices and procedures.
• Applies policies and procedures; including chairing meetings, reporting, assembling working
groups, preparing internal reports, newsletters and assigning various roles and responsibilities.
• Other duties as required.

Qualifications:

• Completion of a relevant University degree or a combination of education; grade 12 and relevant
work experience may be considered; 3-5 years of experience of planning, coordinating and
managing corporate and special events.
• Experience in managing and planning multiple events; and projects.
• Experience in corporate sponsorship and fundraising.
• Experience in managing budgets and preparing work-plans.
• Exceptional delivery of multiple events, on-time and on-budget; including hosting in-person and
virtual events.
• Skilled in sourcing and organizing multiple vendors and service providers.
• Class five (5) Driver’s Licence with a clean 5-year Driver’s Abstract, required.
• Microsoft computer skills (MSWord, Excel and Outlook).
• Ability to host virtual events using social media and zoom or equivalent software.
• Excellent verbal and written communication skills, and strong presentation skills.
• Effective interpersonal skills.
• Excellent analytical skills and strong attention to detail.
• Willingness to work in a diverse workforce.
• Willingness to travel, and is a condition of employment.
• Working in an office environment with multiple demands in a stressful environment.
• Flexible hours; including evenings, weekends and holidays; is a condition of employment.
• Willingness to sign a Confidentiality Agreement.

Salary will be dependent on experience and qualifications.
